A large company was planning its sales meeting for 400 participants from around the world, including VIP’s, employees and guests from subsidiary companies. There was no web registration tool in place, and previous meetings, handled internally, were marked with problems such as incorrect name badges, missed ground transportation, and poor communications around flight details. Because there was no decision maker on-site, handling last minute details and approvals was difficult.

 Scope:

Estimated annual travel spend in the millions with additional spend on company wide sales meetings for top producers.

Challenge:

A National Healthcare provider who has no centralized meeting planning and service desk holding a very important meeting for its top producers nationwide. Since the program is decentralized the powers to be waited too long to secure adequate space for their 2015 top producers meeting.

Since obtaining 500 room nights in a warm climate in the middle of winter was out of the question a location was secured in the central United States that was fairly warmer and that had the facilities needed to hold the meeting. Since the meeting attendees were not mandated to book through a centralized location it was virtually impossible to come up with rooming lists, arrival and departure reports and to top it off a major ice storm hit on the day of arrival. Needless to say, the airlines were cancelling flights, re directing others and making travel just impossible.

Solution:

GTI Travel Management went on record and provided access to its bank of travel agents over the weekend to facilitate the arrival of 98% of all attendees. We sent agents on location, we were able to assist in making the meeting successful and showed the company how to manage the event from our side of the table.

Results:

98% of all attendees were able to attend the meeting since we were able to get them rebooked and arrive in time for the events.

The company has since agreed to consolidate the meeting moving forward with GTI so there would be less internal strife and a better handle on all the arrangements.[/vc_column_text][/vc_column][/vc_row]
